I have a wedding reception coming on on May 9th, I've had it booked since about November, bride was very quick to return contract and retainer, but still has not returned the reception planner with her music selections for events and dances, as well as over music requests. I've emailed and called several times and it is always I will get it to you this week sorry for the delay. The bride also ask if I could provide some music for her Grooms family he is mexican. I told her when we were first talking that I do have some of the music, but if she would just have him give me a list of about 5-6 must plays I could expand on that if needed. So now less than 2 weeks away, and I still have nothing from her.
I am looking forward to this reception since it will be my first with my new Bose L1's but at the same time I am really not looking forward to it. I was also planning to upgrade the lighting package some so I could get some pictures, but at this point, I'm really thinking just get in and get out fast when it's over.

The planner has on it please return within 30 days of the event date to ensure all music will be availible, plus I will state this in the email when I send it to them.

"I know how busy you must be with all the excitement of the wedding ,however, its only 3 weeks away, have you forgotten us?" Most times I will always get a phone call, its in the mail today!!

I have had wedding were I picked all the music except 1st dance and the 2 dances with parents.
I don't stress, if they dont want to call me back shame on them.

We have three this weekend that havent done anything.
Our Standard MO is to email remind them and i make calls tonight as a reminder.
We lock them out on Wednesday

When you say lock them out, what do you mean? They cannot make selections or requests after that?

By requesting payment made 2 weeks prior to event, you assure yourself that any checks have cleared before the event.
The last thing I want to do is have to chase down a bride or groom just as they are driving away because I havent been payed, or having to approach a drunk father or mother because of the same reason, just makes sense, and offers you plenty of peace of mind, to have been payed before hand, that way you can concentate on the wedding, and not are you about to be stiffed

For last Saturdays wedding I recieved the names list for introdouctions just hours before hand and the music list the day before. I do ask for the lists at least 2 weeks in advance and tell them I make no promises if it is sent in later than that but with being able to buy music online people have become a little more lax and worry less about the DJ having thier song
The other part is I have a large music library, alot of which I dont carry, but unless it's obscure chances are I will have it

JMHO, but works well for me
I at one time did send out the planner before the contract, but once a friend was at a wedding that I had quoted and sent the planner out to the bride with my quote. I didn't get the job. I found out later that the friend knew the bride and he was going to the wedding. I ask him to check out the DJ for me. He told me the DJ that got the reception charged about $250 less than me, and most people tell me I'm a little below the average local cost. But the real kicker was he saw my planner on the DJ's table, the bride had printed it out and gave it to him all filled out, still had my logo on the top of the first page.
As for the final payment, just the way I always have done it, so far I never have gotten burned, I do suggest early payment now, and may move that way soon. Definitely will if I ever get burned. I have had at least 3 times that the FOB forgot his check book, but always have gotten the check by Wednesday of the next week, usually with a little extra on it. Once the FOB forgot the checkbook, and ask about credit card payment. We were in a hotel with wireless internet so I got on line and walked him through sending a PayPal payment.

If you happen not to have the brides songs because it's so last minute such as the day before...ask her to supply the songs for you.

yeah DJ Intelligence allows you to lock a customer out, it tells them at the top of their login page how many days until they are locked out. There has to be a time when they stop though so we can get ready.

used to do that but now have to prep way too many jobs it sometimes makes my head hurt. I wish they could develop an automatic reminder email system.
My first customer since the switch over to event planner submitted their stuff via event planner tonight and it looks good. Im trying to decide now if im going to renew my intelligence as a back up and for recurring clients. Im definitely not renewing webmin

Gigbuilder offers the email reminder in the clients information section. I lock the client's music requests and event details out 24 hours prior to the date of the event too. The client is always made aware of this fact prior to providing them with their log in information.

Most of the clients just done care... all they said to me is "The only think we care about is a DJ shows up"... I was even more hurt by this... Im just not dealing with weddings anymore..

Why would that bother you... sounds like easy money if all they care about is that the DJ shows.... sounds to me like they've been burned or know someone who has been burned... this is your chance to shine and show them what a true professional DJ service is all about.

Because its really never that easy. A lot of those types of clients think that the dj just showing up means you'll have in your cd case or on your hard drive every single song ever published and on I-tunes. Those are the first ones that will ask you for some off the wall album cut by brad paisley or expect you to have everything they really wanted but were too busy to tell you.

Just sent another email this morning requesting the planner and music for her groom's family. I am starting to get the feeling that maybe this wedding could be on shakey ground at the moment.

I have the retainer, but not the final balance. If this happens it could be the one that puts me on the early payment boat.
Got a email back, we have a meeting scheduled for this Friday at the venue, 1 week before, hopefully we can get everything finalized then.

There have been a few scheduled and canceled over the last couple of months
Met today with the bride at the venue, she gave me the planner, paid in full and gave me a stack of cd's with selections for her husband and family... But they are just the cd's no sleeve no track listing, I hope the cd's are in the online database if not I may need so track listing help.
A few things that could make this an interesting night. The groom's family is still in Mexico, and just started this week getting the paper work together so they could come to the wedding, so there might not be a Mother Groom dance...
Now, this is a second marriage for both, the bride has a early teenage son and they will be doing a nice heartfelt Mother(Bride) Son dance, the selection her son has selected....

I set them up with a DJ Intelligence client login that will lock them out 2 weeks before the wedding. Even though it counts down for them to give them a warning they'll be locked out on X date I e-mail them about 4 weeks before the wedding to see how it's going. If I still don't have it submitted by about 3-4 days before I e-mail asking them to wrap it up & submit.
Very rarely do I have to extend their time a bit to finish up. I personally like everything submitted 2 weeks in advance to go over everything and get all the music organized. However I'm part-time...if you're full-time I could see just a few days being enough time.
